Confolio - An electronic portfolio system

Hematology Confolio manual

The Hematology Confolio is a system of portfolios available on the web. Here you will find a guide that describes how to perform the most common actions in this system, which includes:

  • Navigate your way around in the system,
  • Search for material
  • Log in and find your own profile and portfolio
  • Add a picture to your profile,
  • Add something to your portfolio and "tag" it according to the EHA Curriculum,

In order to access the system open this link http://hematology.confolio.org in your web-browser that will (after some time) look something link the screenshot below.

If you have a username and password: Use the two fields labeled "Username" and "Password" to provide your details and also tick the checkbox stating that you agree to the user terms of Hematology Confolio. After that you click on the button "Login". If your username and password are correct you will be taken to an overview page that looks like the screenshot below.

If you DO NOT have a username and password: In this case you can still navigate the system and have a look around, just click on the button labeled "Preview".

Prerequisites

  • JavaScript has to be enabled in your web-browser. This is usually the case by default.
  • As the Hematology Confolio relies heavily on Javascript it is recommended to use an up-to-date version of your preferred web-browser.
  • In order to add things to the Hematology Confolio you will need a username and password. Note: You are still able to navigate around in the system and perform searches without having a username and password. How to do this is described in the coming sections.

The overview page

Regardless if you have logged in or clicked on the "Preview" button your browser window should look something like the screenshot below:

Note that the top-bar (the blue area with the "Hematology Confolio" logo) will not have changed if you have not logged in. If you have logged this part would have changed slightly, but will stay the same even though the view below changes. In this overview you can find the latest material that has been added and also search for portfolios, groups and other users.

To the right under Latest material the items that was last added by any user is listed. Clicking any item in this list will take you to the portfolio and folder the material has been added. The view will be changed into the portfolio-view that is described in more detail below.

In the lower left part a list of portfolios, users and groups can be found. To separate these types they have been given different icons. This list is only 20 items long, but above the list a search-field can be used for searching for any user, portfolio or group. With each new character typed in the search-field the list will be updated. It is also possible to exclude any type in the search, i.e. it is possible to only search for users, groups or portfolio by un-ticking the check-boxes to the right of the search-field.

Clicking on the link of a user or group you are taken to their profile-view, that is described more in the coming sections. By clicking on the link of a portfolio you will be taken to the portfolio-view that is also described in the coming sections.

Navigation

Apart from the overview-page there are 3 different kinds of views that are important when navigating:

  1. Personal profile for an individual user
  2. Group profile for a group of users
  3. Portfolio view that organises the material added

Personal profile

In order to find a personal profile click on one of the users on the overview page, where you are also able to search for users, as described above. Clicking on the link of a user will take you to a view that looks something like the screenshot below

To the right in this view the material that has been uploaded by this user is presented. Clicking any item in this list will take you to the portfolio and folder where this item has been added. To the left of this view information about the current user is presented. Next to the profile image is the name of the user, the username and a link to that users home portfolio (i.e. a link to the portfolio view described below). Below this area the groups this user is a member of is listed and also the portfolios and folders that this user have explicit access-rights.

Group profile

A group can be found either by searching on the overview-page or found on personal profile page (since they list the groups the user is a member of).Groups are currently used for easier managing access-rights for the things added to the system. This means that when a group is given certain access-right all of its members get the same rights. At the moment only the system administrator can create/delete/modify groups. An example screenshot of the view for a group profile is shown below:

This view is similar to the personal profile view, but the things displayed are a bit different. To the right under Latest Material are the things added to Hematology Confolio that this group has been given explicit access rights on. To the left of this the name of group is displayed together with some information about the group. Below that area the members of the group is listed and also which folders and portfolios this group has been given explicit access-rights to.

Portfolio view

This view contains the things that are added by the users of the systems, such as links to websites and uploaded files. Portfolios can be found by searching on the overview page or by clicking links that are on the personal profile or group profile views. A screenshot is shown below that is an example of this view and holds 4 different areas:

  1. Item list
  2. Preview
  3. Detailed information
  4. Folder navigation

1. Item List

This shows the items in the current folder. Clicking an item in the list will make it expand and both the preview (2) and Detailed information (3) will be updated. When clicking on the name of an item you will try to access the item and depending on the type different things will happen. Clicking on a folder will make you navigate into that folder and the view will be updated with the contents of the folder. When clicking on a item that is a link, the adress of the link will be opened in a new tab or window of your browser. And, as the last case, when clicking on a file you will try to access the file. If you have a browser plugin for the type of file it will show up in your browser, otherwise the browser will try to download the file to your computer.

2. Preview area

This area shows a preview of the chosen item in the item list, whenever this is possible. To the top left of this area it is possible to enable/disable preview of certain types. Click the arrow-part of the button labeled "Embed" and the types that can be previewed are presented with possibility to turn the preview on or off.

Note: On some browsers the options seen in the screenshot above will seem to not appear (actually it becomes hidden behind the preview area below it). If that happens, change the selected item in the item list to a folder and try again to click the arrow-part of the button labeled "Embed"

3. Detailed information

This area presents the information about the chosen item in the item lists. This is usually at least a title and sometimes also a description, but can also hold keywords and information the type of resource the item is. Furthermore, if the item has been classified/tagged to how it relates to the EHA Curriculum it will be shown here.

4. Folder Navigation

The left part of this rather thin area are 3 buttons. The button to the right makes the items in the list appear as icons, and the middle one makes the items appear in a list (the normal case). The button to the right will make a "navigation-tree" slide in from the side over the item-list, that provides the opportunity to explore the folders of the current portfolio.

To the right of these 3 buttons the current folder path is shown with where each folder is displayed with their label. All folders have labels that you can click to navigate to it, except the current folder. In between the labels are button (with down-arrows) that when clicked displays labels of all the folders on that level of the folder path. These are clickable and are provided for simpler navigation between folders.

Searching

Searching for material that has been added to the Hematology Confolio can be done in two different ways: 1) Via a normal text-based search or 2) using the EHA Hematology Curriculum. The difference between these two ways of searching is described below.

Text-based search

Locate the button labeled "Search" to the right of the blue top-bar (the one with the "Hematology Confolio" logo). Type your search-terms in the text field to the left of this button and press enter (or the search-button).

The system will match the search-term against the information that has been added about the resources in the system, for example in the title, description or keyword. The result will be presented in a search-view that can be seen in the example screenshot below.

This view presents the search-result in the list to the right. Clicking on an item in the list will take you to the portfolio and folder where this item is located. To the left of this view are several ways to modify your search.

Search using a vocabulary that represents the EHA Hematology Curriculum

In the top-bar next to the left of the search-field used above is a link with the label EHA Hematology Curriculum Search. Clicking this link will make another search-view appear, see screenshot below.

The purpose of this search is the ability to find material that has been explicitly "tagged" to deal with a certain part of Hematology. The "tags" that are searched for are the different sections and items of the EHA Hematology Curriculum, that here is represented as a vocabulary and enables a rather detailed search for learning resources about hematology.

To the left part of this search-view the vocabulary representing the Curriculum can be explored where each row can be expanded by clicking the plus-sign in the expandable tree. In order too search, choose an item from the tree (that represents the division in the EHA Hematology Curriculum) in the left area, then click the search-button directly above this tree. In the right area of this view the search-result will appear and clicking any item in this list will take you to the portfolio and folder where this item is located.

The top-bar and your personal info

In order to follow most this and the coming parts of the manual you are required to have a username and a password and also to have logged in.

The blue top-bar that contains the Hematology Confolio log look something like the screenshot below when you are not logged in:

There are several clickable links here. Clicking on:

  • the Hematology Confolio logo to the left will take you to the start-page,
  • Home will take you to the overview page,
  • User Terms takes you to a view where you can read the terms of usage for the Hematology Confolio
  • Contact an information-view about whom to contact for questions regarding the system.
  • the drop-down menu next to Language will make you switch language of Hematology Confolio. Note: Only a few language has been added and only parts of the system has been translated. When no translation exists English will be used.
  • Help will make a help-page appear,
  • About shows some basic information about the system,
  • Login opens up a login window, so that you do not always have to navigate to the start-page in order to log in.
  • EHA Hematology Curriculum Search opens up the search-view described above
  • the button Search after filling in a search-term in the field to the left of this button will take you to search-view for text-based search. More about this view can be found above.

The top-bar will change a little bit if you are logged and will look something like the screenshot below:

Three new links have become clickable that will do the following:

  • Welcome <username>: Clicking on the username will make the view below will change to show your personal profile,
  • My Portfolio: Clicking here will open your home portfolio,
  • Settings: Clicking here will open up a small window where you can edit the information and changing your password.

Changing my personal info

The window that will open when clicking on Setting will look like the screenshot below.

Here your password can be changed by typing a new in the field below your username and verifiyng it in the text-field below that one. The password must be at least 8 characters long (leaving both these fields empty will keep your current password). It is also possible to set a preferred language, which will make the Hematology Confolio switch to that language when you have logged in. Any changes done will be saved after clicking the button Change settings.

When clicking the tab labelled Profile you are able to change the information about you, with the following fields:

  • Title, your title, i.e. Mr, Mrs, PhD, M.D. etc,
  • Firstname, if you have more than one firstname you can fill this out here,
  • Surname, your lastname. If you have more than one you can fill in all of them here,
  • Name, this means your full name as you present yourself (which is not always the combination of firstname and surname, hence the multiple name-fields).
  • Profile picture, a full web-adress to a picture of you.

In order to save the changes done here click on Change settings.

Add or change profile picture

This is done by providing a web-adress to a picture of you in the field labeled "Profile picture" under the tab "Profile" in the window that opens when clicking "Settings" in the top-bar. You can choose to either (1) reuse an existing image of you that can be accessed over the web or (2) upload (or reuse) an image that you have in your portfolio.

Alternative 1: In order to find the web-adress of an existing image, start by opening the page where this image is located and "right-click" on the image. Then choose the option "Copy image location". Now you paste the web-adress into the text-field labeled "Profile picture" and the web-adress should appear. Save by clicking the button labeled "Change settings".

Alternative 2: Reuse an image already existing in portfolio. If you do not have an image, start by uploading one to you home portfolio as you upload a normal file (see to coming section on how to upload a file). The link can be found above the preview for an image in the portfolio-view. Next to where it says "Resource" a link is given. Right-click on that link and choose "Copy link-adress" and after that paste the web-adress into the text-field labeled "Profile picture" and the web-adress should appear. Save by clicking the button labeled "Change settings".

Add something to your portfolio

It is required that you have logged in and also navigated to your home portfolio (click on "My portfolio" in the top bar), or some portfolio where you have the rights to add things. In the left part of the portfolio-view you will find 3 buttons that are depicted in the screenshot below:

Note: If these buttons are inactivated you do not have the proper rights to add something in that folder you are currently visiting.

As can be seen 3 differents things can be added, a file, a link to somewhere on the web and a new folder.

Creating a folder

Clicking the button labeled Folder will make a new folder appear in the list with the label "New folder". Clicking on the white area next to the text will make it expand at it should look like the screenshot below

Change the name of the folder
There are 6 buttons on the bottom of the expanded area ("Edit", "Administer", "Remove", "Copy", "Cut" and "Paste into"). In order to change the name, click on edit and an editor will appear with two fields, one for the title/name of the folder and one for a description (optional), see screenshot:

As can be seen in the screenshot it is also possible to specify what language the title is in. Furthermore, by clicking on the add-button next to the title it is also possible to add another title (in a different language). The same goes for the the description-field. Here two add-buttons exist, and the reason is that more than one description is allowed for one language. So, in the case you want to have two separate description in English, use the upper add-button. If you want the same description, but in another language, use the add-button closest to the text-field.

After you have done editing, click on the button Done below the editor and your changes will be saved.

Adding a link to something on the web

When you want to add something to the Hematology Confolio that already exist on the web it is recommended to provide a link to the material instead of uploading. This way you will not have to worry about copyright issues. In order to a link, click on the button labeled Link... and a window like the one in the screenshot below will appear

In this editor, fill in the following for

  • URL: The web-adress, which in the screenshot is an adress to a youtube-movie
  • Type: Choose an type that suits (Optional)
  • Title: An informative title that describes the material found when clicking the link
  • Description: A short description about the matter (optional)

After this editor has been filled in you can either click on the button labeled Finish and the link will be added to the list. Or, you can choose to click on Next and the window will display an editor where you can provide some additional information about the link. As seen in the screenshot below you can specify the language of the title and the description by choosing one in the dropdown menu to the right of their respective text-fields. You can also indicate if any copyright is involved for using the resource the link leads to. Click yes or no where it says Copyright and Other Restrictions.

After clicking the button Finish the link has been added to the portfolio and it should appear in the list. Below is a screenshot of the link added as an example.

Uploading a file

This part is done in a similar fashion to how a link can be added, so this part will basically only detail the differences. Start by clicking on the button File... and a window looking like the one in the screenshot below will appear

The only difference between this window and the one shown when adding a link is the first field. Here you click on the button labeled Browse in order to locate the file you want to upload. A so called Filechooser will appear and you navigate an pick the file you want to upload. The rest of this procedure is the same as for adding a link, with one exception. When clicking on Finish your browser will start to upload the file and the button will become inactive while the file is being uploaded. When the file has been uploaded the window will close and the new file will appear as an item in the list. Note: The last stage of the uploading procedure might take a long time if you are uploading a large file or if your connection to the web is slow.

How to "tag" that anything uploaded relates to a part of the EHA Hematology Curriculum

Any uploaded file or link added can be "tagged" that it deals with a certain part of the EHA Hematology Curriculum. In the portfolio-view, click an item so that it expands (as can be seen in the screenshot below)

At the bottom of the expanded area click Edit and a editor will appear with several fields that can be filled out. Locate the label EHA Hematology Curriculum Classification and click on the button Browse below it.

When clicking Browse a new window will open where you can select which "tag" to use, i.e. browse through the vocabulary that represents the curriculum. How this looks like is depicted in the screenshot below where 6Cd) Von Willebrand's disease has been selected.

Clicking Done will close the current window and you will now again see the editor where the field next to the Browse button has changed and now displays the select part of the EHA Hematology Curriculum.

When you click on Done for this window the changes will be saved.

Now it is possible to do a search using the EHA Hematology Curriculum search (as described above) for the part 6Cd) Von Willebrand's disease and this item should appear in the search-result.

If you would like to add yet another tag for the same item, click on the button add (that can be seen in the screenshot) and a new filed for that will appear. Remove "tags" by clicking on the Remove button.
