Confolio - An electronic portfolio system

Hematology Confolio manual

This manual will go through how to perform the most common actions in the Hematology Confolio system, which includes:

  • Log in and navigate to your personal portfolio
  • Create a folder and edit the information
  • Add a link to somewhere on the web
  • Move things from one folder to another
  • Upload a file
  • Make a shortcut to another folder
  • Make a search

The system can be accessed through your Web-browser at http://portfolio.hematologynet.eu

Prerequisites

  • A username and password, in case you do not have this or lost your password, send an email to fen@nada.kth.se
  • If possible, use Mozilla Firefox as this is the browser we use during development and testing. We have also done the testing with other major browsers such as Microsoft Internet Explorer, Safari, Google Chrome and Opera where everything appears to work, though some errors might still occur.
  • You have to enable JavaScript in your browser. This is usually the case by default.

How to Log In

When you go to http://portfolio.hematologynet.eu the Hematology Confolio will load into your browser, which could take some time. When finished it should look something like the first screenshot below. In case the small window in the middle does not appear, click on "Login" in the right upper corner. After you have filled in your username and password, click the button below those fields and you will be logged in. To confirm a succesful login, you should see your username displayed in the upper right corner, For more detail, see the screenshots below.

Now you should see the text "Home" next to your username in the upper right corner. If you click on that text the system will display your personal portfolio where you can upload files and create links, though when you log in the first time it will probably be empty. Below the main list in the middle you see a few buttons that are used to upload files or create links. The two most important ones are "File..." for uploading files, and "Link..." for the creation of references to already existing resources on the Internet. How all this is done will be described in the following sections

Create a folder

By clicking the "Folder"-button at the bottom a new folder is created and will appear in the list with the title "New list". If you click somewhere in the white area of the row for the new folder it will expand and some small buttons will appear below the title. By clicking the "Edit"-button a new window will appear where you can edit the title and description of the folder. After you have edit that information click on "Done" and the changes will be saved.

Creating a link

This procedure starts by clicking the "Link..."-buttons below the list which makes a small window appear, like in the screenshots below

  • In the first field, you should enter the URL, ie the web-adress of the link.
  • Under "Type" choose the best suitable option
  • For "Title", put a descriptive name and under "Description" a short description. These values will show up in the folder view when you browse through your resources.
  • Check the checkbox in the lower left corner to approve that what you are adding approves with the rules of the H-net project (Not defined yet though)

Now the "Next"-button should be active (if not you have forgot to add information in this window). By clicking it a new view will appear where you fill in some more required information (metadata). Fill in that information and click "Done". If you forgot to fill something out, the window will remain and the sections you still need to fill out will be colored red. If so, provide the metadata in those sections and try again, note that you will need to specify the language of the Title and the Description. Now the window should disappear and the link will be displayed in the list. See the screenshots below

Move a resource

An item in a list can be moved from one folder to another by using the "Cut"-button of an item and the "Paste" or "Paste Into"-buttons of a folder. These buttons are located below the description of an item when it is expanded. First click "Cut" on the item that is to be moved, then click "Paste into" on the folder where the item should be moved. Alternatively, navigate into the folder and click the "Paste"-button located below the description of the current folder. See screenshot below for details.

File Upload

In the next screenshot a PDF-file is uploaded to the portfolio. After clicking on "File..."-button below the list the following dialog appears.

  • By clicking into the file field or on the "Browse..." button a file can be selected from your computer.
  • For "Format", choose the first value "detect" and the system will figure the format of the file.
  • Under "Type" choose the best suitable option
  • For "Title", put a descriptive name and under "Description" a short description. This works the same way as for creating a link.
  • Check the checkbox in the lower left corner to approve that what you are adding approves with the rules of the H-net project (Not defined yet though)

After this the "Next"-button should be active and the rest works exactly the same as when you create a link, that is described above. After clicking "Finish" the system will try to upload your file and after that the window will close. This could take some time and this depends on the size of the file and the speed of your Internet-connection.

Creating a (internal) link to another folder

Start by finding the folder you want to make a link to, expand it and click "copy". Then navigate to the folder where you want to place the link and click "paste". See more details in the screenshots below.

Searching for Resources

In the upper right corner there is a button with the label Search and an arrow next to it. Clicking the arrow will make some options on your search appear and it should look something like the screenshot below. The search-term is filled out in the text-field to the left of the button and in order to search the term needs to be at least 3 characters long. Click the search-button to start your search and wait for the result, which might take some time.

By default, the search is performed only inside the portfolio you are currently visiting. It is also possible to do other types of searches and this is done by checking the checkboxes and the search will be performed according the following:

  • The checkbox labeled "All portfolios" does like it says and the search is done in every portfolio of the system. Note that this kind of search can take some time
  • Checking "To be annotated" will only return a special kind resources which is currently not used. So ignore this checkbox.
  • The last checkbox "Search user" is used when you want to search for another user. Clicking on user in the search-result will take you to that users portfolio.

You perform the search by hitting enter after you wrote your search term.

Questions and answers

Q: I wanted to create a link or upload a new file, but the buttons to do that are deactivated. What has happened?
A: When creating a link or uploading a new file they will always end up in the current folder that is displayed. If a user does not have the rights to add something to that folder the buttons are deactivated. Note: An error/bug could appear directly after logging in and leave the buttons inactivate. To make them clickable again, click on the folder icon in the right column which also reloads the list in the middle section.
