Organic.Edunet Repository Tools

Prerequisites

  • The current prototype has been tested with Mozilla Firefox. Later versions will be compatible with a wider range of browsers, such as Microsoft Internet Explorer, Opera, and Google Chrome.
  • You have to enable JavaScript in your browser. This is usually the case by default.

How to Log In

Go to http://oe.confolio.org and click on "Login" in the right upper corner. After a successful login your username is visible right next to "Logout". See the following screenshot for how the login screen looks like:

After you have logged in you can click on "Home" in the upper left corner to go to your own personal portfolio. That's also where you have full read and write access, you can use this as a playground for testing the tools.

How To Upload Resources to your Organization's Portfolio

After logging in you should see the contents of the Overview portfolio, which basically consists of links to the portfolios of all content providers. Please click on the link with the abbreviation of your organization, you will then be forwared to your organization's portfolio. See the screenshot below how the overview looks like:

Inside your organization's portfolio you see a few buttons for creation of resources at the bottom of the user interface. Most of them (those ending with dots "...") are dialog based. The two most important ones are "File..." for uploading files, and "Link..." for the creation of references to already existing resources on the Internet. Metadata can be added to both kinds of resources.

The resource type "Object" is not used yet and should not be chosen for now.

File Upload

In the next screenshot a PDF file is uploaded to the portfolio. After clicking on "File..." the following dialog appears, asking for a few inputs:

  • By clicking into the file field or on the "Browse..." button a file is selected from the local computer.
  • If you leave "Format" on "detect", the system tries to determine the file type automatically.
  • "Type" will be important at a later stage, but should be omitted for now.
  • "Title" and "Description" gives the resource also a name. These values will show up in the folder view when you browse through your resources.

After clicking on "Finish" the file is uploaded and added to the currently shown folder.

Link Creation

The following example is similar to the previous one. The next screenshot shows the "Link..." dialog:

  • Instead of a file selection there is a field for entering a URL. That's the location where the referenced resource can be found at.
  • "Type" will be important at a later stage, but should be omitted for now.
  • Like above, a "Title" and a "Description" can be entered.

After clicking on "Finish" a link is created in the currently shown folder.

Annotating the Resources with Metadata

Every resource (and also folder) can be annotated with metadata according to the Organic.Edunet Application Profile. You can enter as many values as you want, just a few fields are mandatory, all others are recommended.

To get to the metadata editing dialog, you click the drop-down menu (a button with an arrow pointing down) and select "Edit" right next to the resource you want to annotate. The following screenshot shows the metadata dialog:

The mandatory fields are:

  • Title
  • Language
  • Description
  • Copyright and other restrictions

The metadata dialog consists of mandatory and recommended fields.

Next to every field you have a drop down menu where you can select the language. This is to specifiy in which language you entered the information.

By clicking the "+" and "-" button to the right of the fields you can increase or decrease the amount of the respective field. Multiple fields of the same kind are useful if there is information available in several languages, or if there a several values for the same property, e.g. keywords.

When you are done with editing, click on "Done" and the dialog will be closed and the metadata stored. You have to scroll down if the buttons "Done" and "Cancel" are not visible.

Choosing a Concept from the Organic.Edunet Ontology

The ontology is shown in a tree structure, when you click the button it pops out and you can select a term:

You can select multiple terms by adding an additional ontology field with the "+" button on the right side.

How To Create a Folder Structure

You probably also want to structure you resources. By clicking the "Folder" button at the bottom a new folder is created. Title and description can be edited by clicking the "Edit" menu item in the drop down menu right next to the folder. You can have as many folder levels as you want, there are no restrictions.

Searching for Resources

Right next to the search field at the top you can see a few check boxes:

The search is restricted to terms of at least 5 characters length. It can take some until the results are returned, there is no indicator yet that a search is performed. By default, the currently selected portfolio is searched. The check boxes change this behaviour:

  • Checking "All portfolios" searches globally in the whole repository. You probably don't want to do this too often, as it can take a long time to return the search results.
  • Checking "To be annotated" returns only harvested resources which haven't been annotated yet with Organic.Edunet metadata.

You perform the search by hitting enter after you wrote your search term.

Annotating Harvested Resources

Using the search described above, you can search for harvested resources which haven't been annotated yet. The metadata editing dialog for harvested resources looks a bit different from the normal one. To left you can see the harvested metadata, which is not editable. On the right side you can edit the metadata according to the Organic.Edunet metadata profile:

Please note that you should not enter values on the right which already exist on the left side, unless you want to provide an updated value. So if there is already e.g. title, description, etc on the left side, you don't have to enter it again on the right side (i.e. leave it empty), unless you want to update the information.

Organizing Harvested Resources

Harvested resources are only shown when they are returned within a search results. Showing all harvested resources at once would take too make time. In order to organize harvested and annotated (e.g. by you) resources, you can create a folder structure and link the resources in there.

This is done by selecting a resource in the search results. Clicking somewhere inside the resource's frame selects it (please note that clicking directly on the title will open the resource). After you selected a resource, you can click the "Copy" button at the bottom. Now you can change to the folder where you would like to have it in, and click on "Paste". The resource should show up in the folder now.

Please note that the resource is not copied, it is referenced instead. This means that it does not matter where you annotate the metadata, either inside the search results, or inside the folder: the resource gets updated either way, it exists just once in the portfolio.
